Computer Workstations

Description

Computer workstations are set up by the Library in all the Branches and are offered to the users for their study and research activity and academic needs. These workstations have access to the Internet and to the electronic resources and services of the Library through its Portal. The authorized use of workstations must conform to the Library’s mission and academic role.

Access to workstations is offered to:

  • members the academic community of the University of the Aegean (undergraduate and postgraduate students, faculty members, researchers and administrative staff), by using their institutional account
  • visitors, who can will obtain login credentials (username/password) from the Library staff. These credentials are valid for one day only.

There is no time limit for the use of the workstations.

External USB floppy and CD/DVD-ROM drives are available for use on the Library workstations.

Print stations are not available at workstations.

Wi-Fi Access

Description

The Library and Information Centre provides free wireless internet access (Wi-Fi) to its users, both at the Central  Library and at all library Branches.

Wi-Fi access is available to:

  • members of the academic community of the University of the Aegean (undergraduate and postgraduate students, faculty members, researchers and administrative staff), by using their institutional account.
  • visitors,who can obtain login credentials (username/password) from the Library staff. These credentials are valid for one day only.

Wi-Fi users must comply with the Acceptable Use of Wireless Internet Access Services of the Information & Communication Systems Security of the University of the Aegean.

Copyright

Description

The use of Library materials (such as books, journals, dissertations, etc) are subject to the Law 2121/1993 (on Copyright, Related Rights and Cultural Matters). Based on this law, Library materials (such as books, journals, dissertations, etc) are available for personal study.

Storage, exploitation or reproduction of print copies for commercial use is not allowed in order to protect the interests of rightholders.

In particular, photocopy reproduction of books, journals, print items or other materials is not allowed. Only under certain and special circumstances, photocopy reproduction is allowed for the strictly private use of the user (for example excerpts of books) and non-circulating materials (for example journal articles).
In this case:
a) the user alone is responsible for the photocopy reproduction. The Library staff does not assist users in any photocopy reproduction of Library materials.
b) the photocopy reproduction by the user is for personal use only, or for use by narrow audience (close family and friends).

In any case, users must respect the permitted photocopying limits to ensure that such reproduction does not conflict with a normal exploitation of the work and does not unreasonably prejudice the legitimate interests of the author.
Specifically, only the reproduction of a small portion of copyrighted work, such as a small excerpt of a few pages of a book or a journal is allowed. The reproduction of the entire book or an entire journal issue or/and in multiple copies without the permission of the author or the publisher, it is not allowed under the Law 2121/1993 as it violates the rights of creator/holder, no matter if the act is performed by the user alone or for personal use only.

Users are fully responsible for any legal consequences arising from the violation of these restrictions. In such a case, the user must make full compensation to the natural or legal person who suffered property or ethical damage from illegal actions based on the Law 2121/1993. A felony may be punishable with imprisonment for one year and financial fine from 2.900€ to 15.000€, while heavier penalties may be imposed based on the damage and the circumstances indicated of illegal action.

Copying Services-Journals

Description

Every Library Branch has a photocopier for library users. Library users can make copies of the material they are interested in (e.g. excerpts of books etc.), including non-circulating materials (journal articles, excerpts of items of gray literature etc.). Copying is subject to copyright or other intellectual property rights.

Ordering Articles

Description

It is possible for users to order copies of journal articles from other Greek Libraries.

The Library belongs to the National Network of Scientific and Technological Libraries (EDETV), which is a network of Libraries that supports interlibrary loan of articles from journals of their collections. The operation of the EDETV is based on the Interlibrary Loan System that has been developed by the National Documentation Centre and the use of the online database of the National Collective Catalogue of Scientific Journals (ESKEP) of Greek scientific and technological libraries. The EDETV counts 148 library-members from all across Greece.

The online ordering of articles is operated by the National Network of Scientific and Technological Libraries (EDETV). Any Library user who is interested in ordering a copy of a journal article from another Greek library can first search for that journal on the online database operated by the National Collective Catalogue of Scientific Journals (ESKEP) of Greek scientific and technological libraries, using the full name of the journal or the journal’s ISSN number or search for it by keywords in the title etc. When the search results are displayed, users can see, among other things, the catalogues of the Greek Libraries that include the item in their collections along with the information about that collection, such as available issues and the dates of the publications. Users can also see if a Library is a member of the EDETV.

Subsequently, the user can place his or her request in-person with the Library staff and order a copy of the journal article s/he is interested in. As a member of the EDETV, the University of the Aegean Library has access to the Interlibrary Loan System and carries out the online ordering on behalf of the user from any Library member of EDETV. A copy of the journal article is delivered via email, fax, mail or courier (delivery period may vary from one (1) to fifteen (15) days), and users are notified to collect the copy from their local branch.

The Interlibrary Loan System of the EDETV informs the Library about the current status of an order and keeps a tracking record of the network history usage by the library (executed, pending or rejected requests). Users are charged for online ordering and the fees are determined by the National Documentation Centre (EKT).

Reservations

Description

The Library offers users the option to place a hold on a book or on other library materials. Users can be placed on a waiting list for a book or other library materials which are on loan to another user. Once a book or other library materials are returned, the Library reserves them for 12 hours for the first user on the waiting list. After that period, the book is lent to the second user on the waitlist.

Users can make hold requests in-person at the circulation desk of the Library Branch, by presenting a valid Library ID and by identifying the material to be renewed

Renewals

Description

Library users may renew library items up to three (3) times – for additional one-week periods – if no one has reserved these items. In extraordinary cases, the Library Branch Head can recall high demand items that are on loan.

Renewal requests can be carried out in-person, by presenting a valid Library ID at the circulation desk of the Library Branch. Alternatively, they can be effected by phone or by e-mail provided the users give their Library ID details and identify the material to be renewed.

Borrowing Policies

Description

Who May Borrow Materials
Only the Aegean University members (Faculty, Students, Staff) who have issued a library membership card are entitled to borrow materials.
However, the Library can offer borrowing services to some special types of users. In particular:
• Visiting students and faculty who attend the University within the frame of inter-university cooperation programmes can obtain similar borrowing rights to students and faculty teachers of the University (they receive a Library membership card) in the course of their studies or their research at the University
• undergraduate and postgraduate students of the Hellenic Open University (HOU) who reside on islands with operating Units (Schools and Departments) of the University of the Aegean Library and
• other visitors. The Branch Head can, in special cases and based on their own judgment, lend Library material to persons who that are not affiliated with the academic community of the University of the Aegean. Non-affiliated users must submit their Identification Card, and they are entitled to borrow Library items for a period of one (1) week.

Non-circulating materials
Users should be aware that the following materials cannot be borrowed:
• Reference books
• Journal issues
• Audiovisual material
• Certain books that are in high demand by users for a specific period of time; this is decided at the discretion of the Branch Head and/or upon consultation with members of the Faculty
• Material in damaged condition that needs preservation
• Items of the Grey Literature Collection (graduate and postgraduate theses, doctoral dissertations, technical or research reports)
• Rare material
• New entries before they are fully documented and processed in the Library catalogues

Loan periods & Item Limits
The loan period for the rest Library material is set at:
- One (1) week for undergraduate students of the University
- Two (2) weeks for faculty members, postgraduate students and the administrative staff of the University

The number of loan items is defined as follows:
- Undergraduate students and the administrative staff of the University have the right to borrow up to three (3) Library items at a time
- Postgraduate students can borrow up to six (6) Library items at a time
- Faculty memberscan borrow up to eight (8) Library items at a time.

Loan periods and item limits are defined by loan regulations. Loan periods and loan items can be prolonged/increased only in the case when a user with distinctive and proven consistent observance of the Library rules for at least one (1) academic year submits to the Branch Unit an application to justify their demand, specify the exact due date and declare that the item will be returned when requested by another user. In no case, though, can the loaning period exceed the period of one (1) month for undergraduate students and two (2) months for postgraduate students or faculty members.

However, the loan period for materials which comprise special collections and are not pertinent to the study programmes of the University Units (Schools and Departments) can vary where the Library branches are concerned. The Local Library Committees can submit such proposals to the Central Library at the beginning of each year.

The Branch Head can, upon consultation with faculty and/or at their discretion, reduce the loan period of books that are in high demand. Overdue fine is doubled for the delayed return of items in high demand.

User obligations – penalties
Users who repeatedly breach the loan periods set by the Library are temporarily suspended of their borrowing rights for a semester, subsequent to the decision of the Local Library Committee.
The Library will charge a fine for every calendar day an item is overdue. Overdue fines are defined by the Central Committee of the Library at the beginning of each academic year.
Students with unsettled library accounts will not receive the required certification to participate in the inauguration.
Anyone who activates the library alarm system in an attempt to remove un-borrowed material will be fined.
Users who misuse or lose Library material they have borrowed are obliged to replace it within fifteen days (15) and to pay the required fine.
In case of damage or loss, Library staff estimates the cost and the price is collected through the process of the collection of public revenues.

Material inventory
The Library is closed for material inventory at a time specified by the Library Service at least three (3) months in advance. During this three-month period, all Library users are obliged to return any material they have borrowed. Non-returned items are considered as missing and the library user is charged accordingly.

Rules & Regulations

Description

1. All members of the University of the Aegean and the general public can make use of the Library’s local services, provided that the provisions of the current Regulation are fully met. Member of the University is considered any natural or legal person that is a member of the academic community as well as the registered students of the University.

2. Borrowing
2.1. Only the current (academic and administrative) staff as well as the registered students of the University of the Aegean are entitled to borrow materials.
A necessary requirement to exercise this right is to possess a Library member ID. The loss of a Library member ID should be reported immediately to the Library staff.
2.2 Non-circulating materials:
a) Reference books
b) Journal issues
c) Audiovisual materials
d) Certain books that are in high demand cannot be borrowed but rather consulted in the Library only for that period of high demand; the Branch Head has the sole discretion in this matter upon consultation with the Teaching staff.
e) Damaged material that needs preservation or replacement
f) Items of the Gray literature Collection (graduate and postgraduate dissertations, doctoral theses, technical or research reports)
g) Rare material
h) New entries before they have fully been documented and catalogued.
2.3 Loan periods for other materials in the Library are:
a) For Academic staff/instructors, postgraduate students, 15 days.
b) For undergraduate students and administrative staff, one (1) week
2.3.1 Loan periods and loan limits are defined by loan regulations. Loan periods can be prolonged and loan items can be increased only when a user, with distinctive and proven consistent observance of the Library rules for at least one (1) academic year, submits an application to the Branch Head to justify his/her demand, specify the exact due date and declare that the item will be returned when requested by another user.
In no case though, can the loaning period exceed the period of one (1) month for undergraduate students and two (2) months for postgraduate students and academic staff/instructors.
Moreover, undergraduate students can borrow up to 6 items, whereas postgraduate students and academic staff/instructors can borrow up to 15 items.

The loan period for materials of Library branches that are part of special collections and are not compatible with the studies programmes of the University Units (Schools and Departments) can differ from the usual loan periods. Relevant proposals are submitted at the beginning of every year from the Local Library Committees to the Central Library.
2.4 Readers may renew library items up to three times – for additional one-week periods – if no one has reserved them. The Library reserves the right to recall high demand items that are on loan.
2.5 If a book is checked out or in order, users can put themselves on a waiting list. When a book that is on a waiting list is returned, the Library reserves it for 12 hours for the first user on the list. After that period, the book is lent to the second user on the waiting list.
2.6 Any user, who repeatedly breaches the loan periods defined by the Library and restores overdue items, will face temporary suspension of borrowing rights for a semester, subsequent to the decision of the Local Library Committee.
2.6.1. The Library will charge a fine for every calendar day an item is overdue. Overdue fines are defined by the Central Committee of the Library at the beginning of each academic year.
2.7 Any student who has unsettled library accounts will not obtain his/her transcripts, thus being unable to graduate.
2.8 Anyone who trips the library’s alarm system in an attempt to remove an un-borrowed material will be asked to pay a fine.
2.9 Postgraduate students, the administrative and technical staff can borrow up to 3 books or other regularly circulation materials from the Library. Postgraduate students can borrow up to 6 and academic staff/instructors up to 8.
2.10 Users who misuse or loose Library material they have borrowed are obliged to replace it within fifteen days (15) and to pay the required fine.
2.11 In case of damage or loss of items, Library staff will evaluate the situation and a price will be collected through the process of the collection of public revenues.

3. Visitors are not permitted to take items, such as briefcases or bags, with them into the library and are required to leave them in the special area indicated by the Library staff.

4. Readers should leave the Library materials they use on the tables. Readers should not place themselves books back on the library shelves.

5. Smoking, drinking or eating is prohibited in the Library building area.

6. Library opening hours are determined by the Library Service and may vary according to staff availability.

7. The Library will be closed for material inventory at a time specified at least three (3) months before the inventory by the Library Service. During the period of three (3) months, all Library users are obliged to return any material they have borrowed. Unreturned items are considered missing and retained by the library user.

Branch
1. Special borrowing policies
1.1 Students and academic staff/instructors who attend the University as part of inter-university cooperation programmes have similar borrowing rights to students and academic staff/instructors of the University during their studies at the University.
1.2 Exercising his/her own discretion and upon consultation with academic staff/instructors, the Library Branch Head can reduce the loan period of books that are in high demand. An overdue fine is charged for the delayed return of items in high demand.
1.3 Exercising his/her own discretion and in special cases, the Library Branch Head can lent Library material to persons that are not affiliated with the academic community of the University of the Aegean. Non-affiliated users must submit their ID, and they are entitled to borrow library items for a period of one (1) week.
